File in Use | Deleting an Open File

It's 5:00 on Friday evening. You realize you need to make a few changes to your report before the deadline at 5:30, so you go to open it up when suddenly, and for no apparent reason, you can only access it in Read Only mode.



That's fine, because this has happened at crunch time before and you know what to do. You make a copy of the file and save it as something else. Then you can make your edits as necessary and submit your report. But wait... Now there are two copies of the same file. What if they want you to make changes and send it back again? You don't want to keep track of both files, so you'd better delete the original one...

...but then...

...fail.

No matter how many times you want to click 'Try Again,' that file just will not disappear. Normally, on a single computer that is not attached to a network, I would recommend rebooting and attempting to delete the file again. If that doesn't work I would hold down F8 while booting and boot into Safe Mode, then attempt to delete the file.

However, this file just so happens to be on company network and you have no way of knowing who has it open. So what do you do? You call the IT guy... Unless, of course, you are the IT guy (or gal as it were).

If you fall into the latter category, the quickest way to resolve this problem is to first log into the server that is hosting the file. From there, right click on My Computer and go to Manage.


From there, go to Shared Folders->Open Files and search for the file you need closed (in this case, Company.xlsx). It will show you which user currently has it open (grayed out above). Then, simply right-click the file, click Close Open File, and you're done. You can then go in through the network and delete the file that was in use. The person using the file has the data stored in RAM, so Excel will not notify them that anything has changed, so unless they re-save the file while they're working on it, it will be deleted from the network.
